The Office Administrator position will be responsible for ensuring general management of the office, overseeing operational efficiency, effective communications, and other types of strategic and tactical planning. This position will maintain facilities management, including space planning/design, vendor contracts and relations, and facilitation of all office functions and services.

This position will act as primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests. This position will oversee and achieve organizational goals while maintaining an efficient, productive, and positively cultured office and employee experience.
This position will be located at EmployIndy Downtown Office and report to the Manager, Accounting and Procurement.

To be successful in this role you will accomplish:
• Answer and direct phone calls promptly, fielding solicitors/cold sales calls; and maintain office efficiency arranging necessary repairs
• Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes; and sorting and distributing incoming mail
• Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.
• Maintaining general office files, including job files, vendor files, and other files related to the company's operations.
• Purchasing office supplies, equipment, and furniture.
• Point person for building management,
• Track and replace office supplies as necessary, while overseeing the maintenance of office facilities, and equipment.
• Function as admin support for Finance and Administration team
• Performing other relevant duties when needed.

Requirements
Education and Experience:
• High school diploma required. Associates degree in business, administration, or a related field preferred.
• Two or more years' office administration experience.
• Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
• Comfortable handling confidential information.

Knowledge, Skills and Abilities:
• Results driven to meet the mission, vision, and goals of EmployIndy
• Knowledge of CRM, Google Suite, and Microsoft Office Suite systems
• Strong verbal and written communication skills
• Knowledge and experience with Blackbaud Accounting software preferred
• Ability to analyze data and reach sound conclusions, work under time pressure, and meet deadlines
• Ability to define problems, collect data, establish facts, and draw valid conclusions
• Knowledge of fund accounting, Uniform Grant Guidance, GAAP and Internal Revenue Circulars preferred
